Job Description: Part Time Administrator
Suffolk Hearing Advisory Service

Hourly Rate £9.00 per hour
Leave 5.6 weeks per year, pro rata

Responsible to: Service Manager, Suffolk HAS
Location: Suffolk HAS Office, Ipswich
Hours: 10.5 hours per week
Mon, Tues, Wed 09.30am - 1.00pm
Contract type: Temp to Permanent

Overall purpose of Job:

To work with the Service Manager carrying out the day-to-day administration required for a small busy office.

Responsibilities and Duties

  • To answer the telephone and direct all calls appropriately.
  • To book clients onto appointments/courses via the telephone and computerised system
  • To input clinic details onto the computer system ensuring a high degree of accuracy
  • To compile detailed activity reports for the Service Manager on a monthly basis.
  • To develop links and partnerships with other hospital staff and other professional bodies.

General responsibilities for All Staff

  • Co-production: Apply the values of Co-production to all that we do. Working in partnership with people affected by sight loss to ensure SHAS is driven by hard of hearing, deaf and deafblind people.
  • Quality: To work to internal service level agreements, processes and procedures, corporate standards and external quality standards. To contribute to and participate in the quality self-assessment process, customer service audits, development of Service Procedures and Service Level Agreements.
  • Volunteers: To support and utilise volunteers appropriately within SHAS.
  • Health & Safety: To ensure that all work is undertaken in accordance with and safety legislation rules and regulations. To follow procedures and be aware of matters that relate to the duties of the post.
  • Performance Management: To actively participate in the organisation's performance management processes including probation, appraisals and work reviews.
  • Administration: The post holder will be entirely responsible for their correspondence, administrative routines, operational record keeping and reporting.
  • Learning and Development: To be responsible for identifying and undertake training and development activities as agreed with your line manager.
  • Use of Resources: To ensure value for money and best use of resources in the role and all activities related to SHAS.
  • Diversity: To adhere to and support Action's core values and carry out all responsibilities with in accordance with SHAS Equality and Diversity Policy.
  • Other: The post holder may be required to undertake other duties deemed appropriate for their post as directed by their line manager.

Volunteer With Us

Our volunteers are trained to provide basic hearing aid maintenance, including cleaning and re-tubing NHS hearing aids and replacing batteries. Volunteers visit residential homes, sheltered accommodation and day centres
across Hertfordshire, Suffolk, Bedfordshire, West Essex and Northamptonshire offering practical support, advice on hearing loss and communication tips. Many of our volunteers have a hearing impairment themselves so have first-hand experience of how stressful and isolating hearing loss can be.
